Why “Slow” Systems Quietly Cost More Than Downtime

Why Latency Is Rarely a Single Issue

When people talk about latency, they’re usually referring to network latency. This is a measurement of how long it takes for one device to respond to another. Other forms of latency can also impact storage. This would be a measurement of how long it takes for the physical storage to respond to a request from the operating system.

It’s important to consider that latency will always exist, it doesn’t completely go away. This is because latency measures how long an action takes to complete. In this way, it is a measurement of time and performance.

Nothing happens instantaneously, so operations will always take some amount of time. Are your systems loading within milliseconds? Are you seeing a 3-4 second delay? Do some requests even take minutes to complete?

The key is to control the variables that cause latency to reduce it to the point where users don’t notice.

Part of the problem is that there is no universal cause of latency.

When we discuss issues with latency, we are often looking at a combination of variables, as it’s rarely as simple as a single thing slowing down the whole system. Server distance, outdated hardware, code inefficiencies, unstable network connection — all of these things are examples of variables that can compound on each other to create latency issues. 

Executives underestimate the complexity of a concept like latency and how it could be originating from multiple locations or hardware faults that require attention.

Let’s see an example.

Radiology is an important field for diagnostic and treatment services. An imaging organization has an office performing at a fraction of the expected speeds. Scans are taking minutes to load, which is unacceptable to the radiologists. Employees become frustrated, staff quit, doctors run behind, and patient care is negatively impacted, threatening the integrity of the organization.

Systems are so slow and experiencing so many issues that the office can’t see the same volume of patients as other locations, impacting their reputation and revenue. No one at the organization knows why this is occurring, so they can’t fix the issue and performance continues to degrade over the span of years.

They decide to bring in a Managed Service Provider (MSP) who thoroughly inspects their entire system. The MSP is able to identify a number of problem areas contributing to latency and other issues.

Users typically tolerate delays to some degree, but noticeable latency is usually the cumulative effect of many components failing to operate as expected. When an MSP comes in, they need to find and figure those things out.

The MSP finds that this organization is dealing with problems such as a lack of maintenance and a misconfiguration in the networking, which contribute to things slowing down over time.

Once those issues are identified and addressed, performance returns to expected speeds and users are able to work. When employees can get work done in a timely manner, morale increases, doctors stay on schedule, and this contributes to a positive patient experience. The office can also now see more patients and generate more revenue.

 

What Slow Systems Are Really Costing You

Performance impacts trust, internally and externally. Slow systems don’t just quietly erode patience — they negatively impact the integrity of your organization.

Employees become frustrated, lose confidence in tools, and are unable to complete work at the same pace.

Latency is better considered as a management signal, not just a technical metric. Latency is rarely the root problem. It’s a signal that infrastructure, ownership, or architecture is under strain.

Monitoring is critical because users typically tolerate a certain level of increased latency without thinking to report it. This means that by the time an issue is reported, there may not be an outage, but the problem is at the point where the contributing variables have grown to such a scale, that resolving the issue is no longer a simple fix. A solution may require significant architectural, hardware, or workflow changes, and in-house expertise may not know or understand how to address the problem.

Monitoring tells an IT professional what is causing the issue. Are devices too far from the server? Does hardware need to be updated? Are there necessary software changes that must be implemented? Does the network connection need to be improved?

When issues arise, it becomes impossible to trace the source of any problem if no one has a clear understanding of each change being made.
